Create an offer in the back office

If you manually create an order in the system, it will be created as an offer. Navigate to SALES > Orders in the left menu of the back office and add an offer by clicking the green plus icon in the navigation at the top of the screen. You now will have to configure the following options:

  1. Add the customer for which the offer/order in question should be made. You may do so by ticking the appropriate customer in the overview. If the desired customer is not listed, you will first have to add him/her through SALES > Customers in the left menu.
  2. An offer will be made. The overview looks similar to that of a regular order, except that all fields are blank. The next step is adding products and shipping and payment methods. Click on the blue buttons that are displayed for each section:
    • Change payment method - You will be taken to an overview of all the payment methods offered in your online store. After clicking the applicable payment methods, you will be returned to the offer. In the same field that previously displayed the Change payment methods button, you will now also see the Change price button. By clicking it, you can modify specific costs associated with the selected payment methods. 

      If no option is displayed, add a payment method first, through GENERAL > Settings > Payment methods in the left menu.

    • Change shipping method - Add a shipping method by clicking this button. A pop-up windows opens where you can select the applicable shipping method, after which you will be returned to the offer. In the same area you will now also see the Change price button. Click it if you want to modify shipping costs. 

      If no option is displayed, add a shipping method first, through GENERAL > Settings > Shipping methods in the left menu. If you have created (a) shipping method(s), check whether the customer’s address has been filled in completely and whether a shipping method has been created for the country in which the customer resides and the shipment weight.

    • Add products - Clicking this button will open a window, where you can add a product by clicking the green plus icon in the navigation at the top of the screen. Repeat this process until all desired products have been added. You can modify products in the offer by clicking the pencil icon next to a given product. A new window will open, where you can modify its price, amount, weigh, dimensions, volume and colli. In addition, on this page you can also grant a discount to the product in question.
  3. If the customer in question wishes to receive the offer by email, you may click Send offer at the bottom of the screen. A pop-up window opens, where your can enter a message to the customer. Your message will be placed in the Offer email template, which you can find by navigating to SERVICES > E-mails & texts > E-mail >> Offer. Before the template can be used and sent you will first have to add the [[message]] key to it, through SERVICES > E-mails & texts > E-mail >> Offer. The automatic email sent out could look like this:
    Dear [[fullname]],
    
    [[message]]
    
    Kind regards,
    Company name
    

    The customer subsequently will be sent an email with the offer enclosed as a PDF attachment.

  4. If an offer has been approved, you must convert to a regular order and process it as such. To do so, click Convert to order at the bottom of the screen.
